{"id":2696,"date":"2026-03-24T10:36:41","date_gmt":"2026-03-24T10:36:41","guid":{"rendered":"https:\/\/clouddirect.net\/learning-hub\/?p=2696"},"modified":"2026-03-26T10:13:49","modified_gmt":"2026-03-26T10:13:49","slug":"enable-employee-built-ai-agents","status":"publish","type":"post","link":"https:\/\/clouddirect.net\/learning-hub\/enable-employee-built-ai-agents\/","title":{"rendered":"How to Enable DIY AI Agents: Governance, Tools, and Education"},"content":{"rendered":"\n<p><strong>We\u2019re&nbsp;entering&nbsp;a new phase of AI use, in which&nbsp;employees will&nbsp;increasingly&nbsp;build their own AI agents and workflow assistants.&nbsp;Take technology investment group&nbsp;Prosus&nbsp;for example,&nbsp;whose&nbsp;Global Head of AI states that&nbsp;<\/strong><a href=\"https:\/\/www.techjournal.uk\/p\/employee-built-ai-agents-force-a\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>90 per cent of their 4000 AI Agents<\/strong><\/a><strong>&nbsp;have been built by staff members.&nbsp;<\/strong>&nbsp;<\/p>\n\n<p><strong>DIY AI&nbsp;can&nbsp;have an enormous impact. Consider the&nbsp;productivity&nbsp;gains from each employee&nbsp;building&nbsp;small agents that save&nbsp;an hour or two per week.&nbsp;<\/strong><\/p>\n\n<p>But&nbsp;before&nbsp;everyone starts building their own agents&nbsp;and your organisation soon becomes the AI Wild West\u2026&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>The organisation needs&nbsp;some sensible controls in place,&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Employees&nbsp;need access&nbsp;to&nbsp;approved tools,&nbsp;and&nbsp;&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>The knowledge and inspiration&nbsp;to&nbsp;use them.&nbsp;&nbsp;<\/li>\n<\/ul>\n\n<p>Inaction&nbsp;won\u2019t&nbsp;stop your teams developing their own agents, but it will&nbsp;put your business at risk.&nbsp;We outline&nbsp;the steps&nbsp;to take to get started.&nbsp;&nbsp;<\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-start-by-nbsp-agreeing-nbsp-the-agent-nbsp-parameters\"><strong>Start by&nbsp;agreeing&nbsp;the agent&nbsp;parameters<\/strong><\/h2>\n\n<p>Your&nbsp;employees are&nbsp;already&nbsp;experimenting&nbsp;with&nbsp;DIY agents, so setting ground rules&nbsp;should&nbsp;be a&nbsp;priority.&nbsp;This&nbsp;isn\u2019t&nbsp;about stifling&nbsp;innovation, but ensuring that&nbsp;people&nbsp;don\u2019t&nbsp;inadvertently&nbsp;create security, compliance, or data governance risks.&nbsp;<\/p>\n\n<p>Create a simple,&nbsp;short&nbsp;\u2018Responsible AI Agent Policy\u2019&nbsp;that clearly defines&nbsp;what employees can and cannot do.&nbsp;The goal&nbsp;is&nbsp;data protection and regulatory compliance.&nbsp;&nbsp;<\/p>\n\n<p>This is&nbsp;likely to allow the creation of internal productivity agents, workflow automations, knowledge assistants, and data summarisation.&nbsp;But&nbsp;also,&nbsp;to&nbsp;forbid&nbsp;potential data and governance&nbsp;breaches.&nbsp;&nbsp;<\/p>\n\n<p>Restrict:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Uploading&nbsp;of&nbsp;confidential data into&nbsp;unapproved tools&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Use of external AI services&nbsp;that sit&nbsp;outside&nbsp;the&nbsp;company tenancy&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Agents that interact with customer&nbsp;data&nbsp;(without approval)&nbsp;<\/li>\n<\/ul>\n\n<p>Support this&nbsp;with a&nbsp;simple&nbsp;approval&nbsp;process, with&nbsp;the goal&nbsp;of&nbsp;ensuring&nbsp;you have&nbsp;oversight of things that have wider impact.&nbsp;So, for own-use, personal productivity agents no approval may be&nbsp;required. Where the agent is to be more widely used, for example&nbsp;by other team members on a shared workflow, require manager approval.&nbsp;Meanwhile,&nbsp;if&nbsp;the impact is likely to&nbsp;be&nbsp;cross-department&nbsp;or&nbsp;customer facing,&nbsp;IT or governance approval&nbsp;should&nbsp;be&nbsp;required.&nbsp;&nbsp;<\/p>\n\n<p>This&nbsp;should prevent chaos&nbsp;without blocking&nbsp;safe&nbsp;experimentation.&nbsp;&nbsp;<\/p>\n\n<h3 class=\"wp-block-heading\" id=\"h-review-data-governance\"><strong>Review data governance<\/strong><\/h3>\n\n<p>Alongside this,&nbsp;it\u2019s&nbsp;important that&nbsp;the organisation&nbsp;has the right data governance tools in place.&nbsp;&nbsp;<\/p>\n\n<p>No one should be able to create an agent that&nbsp;can access data that they&nbsp;aren\u2019t&nbsp;allowed to see,&nbsp;so&nbsp;use Microsoft Purview to&nbsp;review and,&nbsp;if&nbsp;necessary,&nbsp;rectify:&nbsp;&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Data classifications&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Use of sensitive information labels&nbsp;&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Data loss prevention (DLP) policies&nbsp;&nbsp;<\/li>\n<\/ul>\n\n<h2 class=\"wp-block-heading\" id=\"h-provide-user-friendly-ai-tools\"><strong>Provide user-friendly AI tools<\/strong><\/h2>\n\n<p>Perhaps the greatest risk&nbsp;is&nbsp;employees quietly using&nbsp;unapproved AI tools.&nbsp;&nbsp;<\/p>\n\n<p>Part of&nbsp;the&nbsp;solution is to provide ready access to&nbsp;approved tools, along with a safe sandboxed environment for&nbsp;experimentation, before&nbsp;they go elsewhere.&nbsp;&nbsp;&nbsp;<\/p>\n\n<p>Typically,&nbsp;this means using:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Microsoft 365 Copilot&nbsp;\u2013 this is&nbsp;the AI assistant&nbsp;all&nbsp;licensed&nbsp;employees&nbsp;can&nbsp;use, supported by Copilot Chat for non-licensed employees&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Microsoft Copilot Studio&nbsp;\u2013 the&nbsp;separately licensed&nbsp;platform&nbsp;that can&nbsp;be&nbsp;used to build AI agents&nbsp;and&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Microsoft Power Automate&nbsp;\u2013&nbsp;for automation&nbsp;<\/li>\n<\/ul>\n\n<p>This will help to ensure that:&nbsp;&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Data stays inside your Microsoft tenant&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Security policies&nbsp;are&nbsp;applied&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Access controls&nbsp;are&nbsp;enforced&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Audit logs are&nbsp;available&nbsp;<\/li>\n<\/ul>\n\n<p>While there are other tools available, working within the Microsoft AI stack will enable you to make the most of your M365 foundation. This may not&nbsp;be&nbsp;everybody\u2019s&nbsp;first choice, however, so adding in a security layer with tools from Microsoft Purview is crucial to ensure employees&nbsp;don\u2019t&nbsp;stray from the approval platform.&nbsp;<\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-microsoft-365-copilot-and-copilot-studio-and-how-they-re-licensed\">Microsoft 365 Copilot and Copilot Studio, and how they&#8217;re licensed<\/h2>\n\n<p>Microsoft 365 Copilot is the AI capability embedded inside Microsoft 365 apps, such as&nbsp;Word,&nbsp;Excel,&nbsp;Outlook,&nbsp;PowerPoint, and&nbsp;Teams. But it is not embedded within&nbsp;your&nbsp;Microsoft 365&nbsp;subscription and&nbsp;requires a&nbsp;separate,&nbsp;paid,&nbsp;add-on licence.&nbsp;This&nbsp;enables organisations to deploy Copilot to&nbsp;specific&nbsp;users, test AI adoption, and control costs.&nbsp;&nbsp;<\/p>\n\n<p>Microsoft 365 Copilot&nbsp;enables&nbsp;employees to:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Summarise documents&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Draft emails&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Analyse spreadsheets&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Summarise meetings&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Answer questions using company data&nbsp;&nbsp;<\/li>\n<\/ul>\n\n<p>Copilot Studio is a development environment for creating AI agents, which can:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Answer questions from company knowledge bases&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Automate workflows&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Interact with systems&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Perform multi-step tasks&nbsp;<\/li>\n<\/ul>\n\n<p>These can be deployed&nbsp;in&nbsp;Microsoft Teams,&nbsp;Microsoft 365 Copilot chat, and&nbsp;SharePoint.&nbsp;By buying&nbsp;Microsoft 365 Copilot&nbsp;you automatically get these \u2018basic\u2019&nbsp;Copilot Studio capabilities&nbsp;for internal use.&nbsp;&nbsp;<\/p>\n\n<p>However, a separate Copilot Studio licence, or Copilot Credits, are&nbsp;required&nbsp;to:&nbsp;&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Publish agents to websites&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Create customer-facing bots&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Allow external users to interact with agents&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Run large-scale autonomous agents&nbsp;<\/li>\n<\/ul>\n\n<p>Copilot Studio&nbsp;follows a&nbsp;usage-based&nbsp;subscription&nbsp;model. This&nbsp;operates&nbsp;tenant-wide&nbsp;with&nbsp;capacity&nbsp;either&nbsp;purchased&nbsp;through credit capacity packs or pay-as-you-go billing, in the form of Copilot Credits.&nbsp;<\/p>\n\n<h2 class=\"wp-block-heading\" id=\"h-training-on-ai-agents\"><strong>Training<\/strong> on AI agents<\/h2>\n\n<p>Once the<strong>&nbsp;<\/strong>governance and tools are in&nbsp;place&nbsp;the&nbsp;focus&nbsp;shifts&nbsp;to education and inspiration.&nbsp;<\/p>\n\n<p>Employees rarely build useful tools until&nbsp;they understand the possibilities.&nbsp;As with any new initiative,&nbsp;people will range from&nbsp;the enthusiastic to the resistant&nbsp;\u2013 and&nbsp;many will need to see&nbsp;coworker\u2019s&nbsp;successes&nbsp;before they want to get involved.&nbsp;&nbsp;<\/p>\n\n<p>As a result, some organisations will take a phased approach to training.&nbsp;Start&nbsp;with a cohort&nbsp;of&nbsp;early adopters,&nbsp;perhaps self-selected,&nbsp;before working through other groups.&nbsp;&nbsp;<\/p>\n\n<p>An AI training and enablement programme might include:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Internal workshops<\/strong>&nbsp;<br>This&nbsp;could&nbsp;include explanation of AI agents, how to build simple agents, and security and governance considerations.&nbsp;Seeing real examples helps unlock ideas, so&nbsp;provide&nbsp;practical examples.&nbsp;Such as&nbsp;meeting summarisation, policy Q&amp;A assistants, sales proposal drafting&nbsp;agents,&nbsp;and service desk ticket triaging.&nbsp;&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li><strong>Starter toolkits<\/strong>&nbsp;<br>Remove the \u2018blank&nbsp;page\u2019 problem by giving&nbsp;employees:&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Pre-built agent templates&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Example prompts&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Sample Power Automate flows&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>Documentation on best practices&nbsp;<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li><strong>Encouraging&nbsp;experimentation<\/strong>&nbsp;<br>It\u2019s&nbsp;important to support this with a&nbsp;culture&nbsp;of experimentation,&nbsp;so&nbsp;consider&nbsp;recognition for successful agents, innovation competitions and even \u2018AI&nbsp;Agent hack&nbsp;days\u2019.&nbsp;&nbsp;<\/li>\n<\/ul>\n\n<h3 class=\"wp-block-heading\" id=\"h-a-practical-five-step-framework-for-employees-nbsp\"><strong>A practical five-step framework for employees<\/strong>&nbsp;<\/h3>\n\n<p id=\"h-a-practical-five-step-framework-for-employees-provide-employees-with-a-process-they-can-follow-like-the-following\">Provide employees with a&nbsp;process they can follow,&nbsp;like the following.&nbsp;&nbsp;<\/p>\n\n<p><strong>1.&nbsp;Identify&nbsp;a&nbsp;real&nbsp;issue<\/strong>&nbsp;<br>The best agents&nbsp;simplify things that consistently take time. This might be summarising meetings, or&nbsp;triaging&nbsp;requests\/complaints,&nbsp;or&nbsp;searching for policies.&nbsp;<\/p>\n\n<p><strong>2.
