IT\u2019,&nbsp;only more virulent.&nbsp;We consider how widespread it is,&nbsp;the difficulties of tracking it, the risks, and what you can do about it.&nbsp;<\/strong>&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\">With&nbsp;just a&nbsp;browser and a personal account,&nbsp;employees&nbsp;can&nbsp;introduce powerful technology into the workplace:&nbsp;no need for&nbsp;procurement approval,&nbsp;no&nbsp;infrastructure&nbsp;needs,&nbsp;no&nbsp;formal development cycle.&nbsp;&nbsp;<\/p>\n\n<h2 id=\"h-what-is-shadow-ai\" class=\"wp-block-heading\"><strong>What is Shadow\u00a0AI?<\/strong>\u00a0<\/h2>\n\n<p class=\"wp-block-paragraph\">Shadow AI is the&nbsp;unauthorised use of AI tools and services by employees without IT approval, oversight, or knowledge.&nbsp;It\u2019s&nbsp;much&nbsp;more than&nbsp;just&nbsp;using&nbsp;ChatGPT&nbsp;in place of&nbsp;search, and&nbsp;includes&nbsp;employee-built automations,&nbsp;AI-assisted coding, and&nbsp;summarisation tools&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\">The term&nbsp;\u2018Shadow AI\u2019 suggests something akin to \u2018Shadow IT\u2019,&nbsp;but there are fundamental differences:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>it\u2019s\u00a0often\u00a0instantly accessible\u00a0with\u00a0no installation\u00a0or set-up\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>it\u00a0can be rapidly adopted\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>it\u00a0almost always\u00a0involves use of your data\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>it\u00a0carries much higher operational risk, including\u00a0output inaccuracies and\u00a0irreversible data exposure, and\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>with\u00a0very low\u00a0employee awareness of the issues\u00a0it brings.\u00a0<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">In many organisations, employees are already using unsanctioned AI to summarise documents, draft content, analyse data, automate workflows, and even build simple AI agents.\u00a0<\/p>\n\n<h2 id=\"h-how-widespread-is-shadow-ai\" class=\"wp-block-heading\"><strong>How widespread is Shadow AI?<\/strong><\/h2>\n\n<p class=\"wp-block-paragraph\">Shadow AI\u00a0appears to be\u00a0a widespread problem.\u00a0In October last year,\u00a0Microsoft\u00a0released\u00a0research\u00a0stating\u00a0that\u00a0<a href=\"https:\/\/ukstories.microsoft.com\/features\/rise-in-shadow-ai-tools-raising-security-concerns-for-uk\/\">71% of UK employees have used unapproved AI tools at work,\u00a0with\u00a051%\u00a0doing so\u00a0every week.\u00a0<\/a>These are staggering numbers.\u00a0While\u00a0these\u00a0figures may\u00a0have included a lot of\u00a0entry level AI use, that was last year.\u00a0In the world of AI things are\u00a0developing quickly.\u00a0By now, reality is\u00a0likely to be\u00a0way\u00a0ahead\u00a0of anything\u00a0a point in time survey\u00a0can\u00a0tell us.\u00a0\u00a0\u00a0\u00a0<\/p>\n\n<p class=\"wp-block-paragraph\">So, how widespread is it in your organisation?&nbsp;&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\">You&nbsp;probably know&nbsp;that&nbsp;employees are&nbsp;already&nbsp;using&nbsp;unsanctioned&nbsp;AI at work&nbsp;and&nbsp;it\u2019s&nbsp;easy&nbsp;to&nbsp;see&nbsp;why:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>AI tools are incredibly accessible<\/strong>\u00a0<br>An employee can start using AI in minutes rather than months.\u00a0The\u00a0tools are often free, or low cost,\u00a0and instantly accessible via a browser.\u00a0\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li><strong>Employees\u00a0can\u00a0see immediate productivity gains<\/strong>\u00a0<br>People\u00a0are\u00a0quick\u00a0to realise that AI can\u00a0make their life easier\u00a0\u2013\u00a0there\u2019s\u00a0a big incentive to\u00a0experiment with\u00a0drafting,\u00a0summarisation,\u00a0analysis,\u00a0automation,\u00a0coding\u00a0and\u00a0research.\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li><strong>There are no\u00a0restrictions in place<\/strong>\u00a0<br>In most\u00a0organisations,\u00a0Governance is still catching up.\u00a0They\u00a0are still assessing risk,\u00a0and\u00a0don\u2019t\u00a0have\u00a0mature AI policies,\u00a0and\u00a0don\u2019t\u00a0have\u00a0approved tools.\u00a0\u00a0<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">But if you&nbsp;don\u2019t&nbsp;know what sort of AI is being used, where, and for what purposes&nbsp;that\u2019s&nbsp;not unusual.&nbsp;&nbsp;<\/p>\n\n<h2 id=\"h-can-we-see-what-s-happening\" class=\"wp-block-heading\"><strong>Can we see\u00a0what\u2019s\u00a0happening?\u00a0<\/strong><\/h2>\n\n<p class=\"wp-block-paragraph\">Traditional IT visibility was&nbsp;not&nbsp;designed&nbsp;to deal with the&nbsp;world we now find ourselves in.&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\">While&nbsp;Microsoft is&nbsp;building&nbsp;a&nbsp;comprehensive shadow AI visibility and governance stack,&nbsp;its&nbsp;capability is&nbsp;distributed across several products.&nbsp;&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\">For example,&nbsp;Microsoft Defender for Cloud Apps can&nbsp;show&nbsp;which AI apps are being used&nbsp;on&nbsp;managed devices,&nbsp;identifying&nbsp;ChatGPT,&nbsp;Claude,&nbsp;Gemini,&nbsp;Perplexity&nbsp;and many other services. As well as&nbsp;usage levels,&nbsp;traffic volumes,&nbsp;and&nbsp;risk scores.&nbsp;Tie&nbsp;this&nbsp;with&nbsp;Purview Data&nbsp;Security&nbsp;Posture Management for&nbsp;AI&nbsp;and&nbsp;you can&nbsp;have&nbsp;real insight into what&nbsp;sensitive&nbsp;information is being put into&nbsp;AI&nbsp;services&nbsp;and&nbsp;how they are being used.&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\">These&nbsp;tools do come&nbsp;with&nbsp;limitations&nbsp;though such as:&nbsp;<\/p>\n\n<ul class=\"wp-block-list\">\n<li>unmanaged devices\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>reliance on\u00a0Microsoft Defender for Endpoint\u00a0<\/li>\n<\/ul>\n\n<ul class=\"wp-block-list\">\n<li>reliance on\u00a0the use of\u00a0supported browsers such\u00a0as Microsoft Edge\u00a0<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">Regardless of what&nbsp;sellers might want you to believe,&nbsp;right now there&nbsp;isn\u2019t&nbsp;a tool that&nbsp;can give&nbsp;you a comprehensive view of Shadow AI.&nbsp;&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\">Which&nbsp;raises the question, \u2018what&nbsp;are&nbsp;the business risks if you ignore this?\u2019&nbsp;<\/p>\n\n<h2 id=\"h-the-real-risks-of-shadow-ai\" class=\"wp-block-heading\"><strong>The real risks<\/strong> of Shadow AI<\/h2>\n\n<p class=\"wp-block-paragraph\">Shadow AI is no&nbsp;longer&nbsp;hypothetical.&nbsp;You\u2019re&nbsp;probably&nbsp;already&nbsp;aware of some of the risks&nbsp;\u2013&nbsp;it\u2019s&nbsp;partly&nbsp;why&nbsp;you\u2019re&nbsp;reading&nbsp;this&nbsp;blog&nbsp;\u2013 but&nbsp;they\u2019re&nbsp;worth&nbsp;stating.&nbsp;&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>1&nbsp;Data leakage<\/strong>&nbsp;&nbsp;<br>Probably the biggest concern is&nbsp;sensitive data&nbsp;being pasted into public AI tools. Examples include&nbsp;customer data,&nbsp;employee&nbsp;records,&nbsp;financial information, and&nbsp;intellectual property.&nbsp;&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>2 Compliance and regulatory exposure<\/strong>&nbsp;<br>Data leaks go hand in hand with&nbsp;compliance issues potentially around&nbsp;GDPR,&nbsp;retention policies,&nbsp;auditability, and regulatory breaches.&nbsp;&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>3 Uncontrolled agents and automation<\/strong>&nbsp;<br>Employee created workflows, automations, and&nbsp;decision-making agents&nbsp;are unlikely to&nbsp;be&nbsp;accompanied&nbsp;by the correct level of&nbsp;testing,&nbsp;governance,&nbsp;resilience, and&nbsp;oversight.&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>4 AI-generated inaccuracies<\/strong>&nbsp;<br>While&nbsp;you\u2019re&nbsp;aware of the&nbsp;dangers of AI&nbsp;hallucinating,&nbsp;misinterpreting, and producing&nbsp;incorrect outputs,&nbsp;are employees? Without&nbsp;governance, and education,&nbsp;bad outputs may enter operational processes.&nbsp;<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>5 Fragmentation and duplication<\/strong>&nbsp;<br>Without oversight&nbsp;there\u2019s&nbsp;a real risk of different&nbsp;individuals and teams&nbsp;adopting&nbsp;different tools, creating&nbsp;overlapping agents, and duplicating effort.
